Built for the headcount conversation

Most awareness practitioners can feel that they are stretched. Fewer can show it clearly. This tool helps you map your current hours across the activities that actually make up your week, then model what changes when a new hire joins — or when your role shifts.

Set your weekly target hours, your new hire's target hours, and your own target after the hire — three independent columns, no auto-linking between them. Allocate each activity across all three and watch the donut charts, the team capacity total, and the plain-English narrative update in real time. A guided setup wizard walks you through the whole thing in about five minutes, including a category picker so you only see the activities that apply to your role. A business case section connects the numbers to outcomes your organisation actually cares about.

Everything in one file

6-step guided wizard

Starts with a category picker so you only work with activities relevant to your week. Covers your pain points, hours, the new hire's role, your current time split, and the full business case. Pain points feed straight into your risk narrative. Populates the calculator automatically when you finish.

Three independent hour targets

Your week, your week after the hire, and the new hire's week — each with its own target and its own running total. No auto-linking between columns, so part-time hires, job shares, and full-time roles are all easy to model.

Light and dark mode

Toggle between dark and light at any time. Print, image, and slide exports always use a clean white output regardless of which mode you're in.

Four-slide presentation export

Generate a current state slide, a proposed state slide, a dedicated new hire slide, and a capacity change slide — all at 1920×1080, ready to drop into a deck. Preview before downloading, export one slide or all four at once.

Standalone donut downloads

Each chart can be downloaded on its own as a labelled donut with a full legend, or as a clean breakdown table with no chart at all — useful for dropping straight into someone else's slide or document.

Custom categories

12 practitioner-specific activity categories to choose from, plus the ability to add your own — including capabilities that don't exist yet but would become possible with more capacity.

📊

Justify headcount

Show a manager or CISO exactly where capacity is going and what a new hire would unlock — in hours, not vague claims about being busy.

🔄

Document role growth

Your job has expanded beyond its original scope. This makes that visible in a format that is easy to share and hard to dismiss.

🎯

Reframe your priorities

Map where you want your time to go, not just where it currently ends up. Show what you would do differently with more resource.

💬

Prepare for the conversation

Walk in with a clear visual and a written rationale, not just a feeling of being overwhelmed.

Use the wizard or dive straight in

1

Pick your activities

The wizard opens on first visit and starts by asking what your week actually involves. Select from 12 practitioner-specific categories, deselect anything that does not apply, add your own if something is missing, and flag any capabilities that don't exist yet but would become possible with more capacity.

2

Name your pressure points

Select the statements that ring true — content creation is a bottleneck, reactive work crowds out planning, reporting eats hours you'd rather spend elsewhere. These feed straight into the risk section of your business case later.

3

Set your weekly hours

Enter how many hours you work per week, not including lunch. This becomes your baseline. Quick-select options cover the most common contracts.

4

Describe the new hire's role

A sentence or two on what they would take off your plate. This becomes the "why this role matters" text on the new hire slide.

5

Allocate your current time

Drag the sliders, or type the hours directly, to show how your week is split across your chosen activities. A live total in the header tracks progress against your target.

6

Build the business case

Answer four questions — the initiative this investment unlocks, the risk it addresses, what success looks like in 12 months, and how you will measure it. Your pain points pre-fill the risk answer if you leave it blank.

Once you finish, the calculator opens with everything in place. From there you can independently fine-tune three columns — your time now, your time after the hire, and the new hire's time — and export a four-slide presentation, individual donut charts, a full Excel workbook, a PNG image, or a printed PDF.

Nothing to install

The calculator is a single HTML file. Open it in any browser and it works. No data is sent anywhere — everything runs locally on your device. First-time visitors are walked through setup automatically. Return visits open straight to the calculator.
